Privacy Policy

Last updated: October 17, 2026

This Policy explains what personal data Hotwebinar collects, why, who we share it with and what your rights are. It applies to the website, the platform and our support channels.

1. Who is responsible

The controller of the personal data processed on the website and in customer accounts is HOTWEBINAR DESENVOLVIMENTO E COMERCIALIZACAO DE PLATAFORMAS ONLINE LTDA, CNPJ 50.601.987/0001-78, with its principal office at Rua Teófilo Otoni, 63, sobreloja 201, Centro, Rio de Janeiro/RJ, CEP 20090-080, Brasil. Contact for privacy matters: [email protected].

For data about Participants in our customers' webinars, the controller is the customer who organizes the webinar, and Hotwebinar acts as a processor.

2. Data we collect

Data you provide to us: name, email, phone number, company and billing details when you create an account, subscribe to a plan or contact support.

Payment data: processed by our partners (such as Stripe and the Brazilian checkout). We only receive information such as payment status, plan, amount and the last digits of the card; we do not store the full card number.

Usage data: pages visited, clicks, device, browser, approximate IP address, country and campaign parameters (UTMs), collected through cookies and similar technologies.

Participant data: name, email, phone number and webinar interactions (attendance, watch time, chat messages, clicks and purchases), processed on behalf of our customers.

3. How we use it

To provide the service: create and maintain your account, host and stream webinars, generate analytics and send access emails.

To bill and prevent fraud: process subscriptions, renewals and cancellations.

To support you: respond via chat and email.

To improve and promote Hotwebinar: understand how the website is used, measure campaigns and show relevant ads, where permitted.

To comply with legal, tax and regulatory obligations.

4. Legal bases

We process data on the basis of performance of a contract, compliance with legal obligations, our legitimate interests (for example, security and service improvement) and, where required, your consent, such as for advertising cookies in countries that require it. This follows Brazil's General Data Protection Law (LGPD) and, for individuals in the European Economic Area and the United Kingdom, the GDPR.

5. Cookies and measurement tools

We use first-party cookies, for example to remember your chosen language and currency, and third-party cookies for measurement and advertising: Google Tag Manager, Google Analytics, Google Ads, Meta Pixel, Microsoft Clarity and UTMify. Our support chat uses Chatwoot.

You can block or delete cookies in your browser settings. Some features may stop working.

6. Who we share it with

We do not sell personal data. We share it only with vendors that help us provide the service, under contract and to the extent necessary: payment processors (Stripe and our Brazilian checkout partners), cloud hosting and infrastructure, video delivery, email delivery, customer support (Chatwoot), measurement and advertising (Google, Meta, Microsoft), and any integrations you choose to enable in your account.

We may also share data when required by law or by order of a competent authority.

7. International transfers

Some vendors are located outside your country, for example in the United States. In those cases we adopt the safeguards provided for by law, such as standard contractual clauses.

8. How long we keep it

We keep data while your account is active and, afterwards, for as long as necessary to comply with legal obligations, resolve disputes and enforce our agreements. Participant data follows the customer's instructions and is deleted or returned at the end of the contract, unless we are legally required to retain it.

9. Security

We use technical and organizational measures to protect data, such as encrypted connections (HTTPS), access controls and vendors with recognized security standards. No system is completely immune; if a material incident occurs, we will notify affected individuals and the authorities as required by law.

10. Your rights

You may request: confirmation of and access to your data, correction, anonymization, blocking or deletion, portability, information about sharing, withdrawal of consent and objection to processing. You may also file a complaint with the data protection authority in your country (in Brazil, the Brazilian National Data Protection Authority (ANPD)).

To exercise your rights, write to [email protected]. If you are a Participant in one of our customers' webinars, please contact that customer first; we will help them handle your request.

11. Children

Hotwebinar is not intended for anyone under 18 and does not knowingly collect data from children.

12. Changes to this Policy

We may update this Policy. The date of the last update appears at the top of the page, and we will notify you of material changes by email or in the dashboard.
